BASIC FUNCTION
The Development Coordinator will provide administrative support and coordination, writing and research support, and event coordination to the Global Economy and Development program (Global) development team. The Development Coordinator will also assist with the identification, cultivation, and stewardship of supporters, in addition to assisting with all aspects of administration and communication between Global and the central development office (DEV).
EDUCATION/EXPERIENCE REQUIREMENTS
Bachelor’s degree required. Minimum three years coordination and administrative experience in a fundraising function required (preferably within an international, non-profit organization). Familiarity with research-oriented work environments, preferred. Interest in international economics, international development policy, and poverty issues, also preferred.
KNOWLEDGE REQUIREMENTS
Excellent interpersonal, organizational, administrative, and communication skills, required. Candidate should have strong writing capabilities, including exceptional grammar, spelling, proofreading, and editing skills. Must be able to coordinate a variety of tasks simultaneously in a fast-paced environment, meet deadlines, and consistently follow-up on details. Candidate must be highly attentive to detail, discreet, and dependable. Proficiency in Microsoft (MS) Office Suite including strong database and spreadsheet skills in MS Excel, required. Must be able to exercise good judgment, take initiative, function independently, and work in close cooperation with others. Familiarity with Raiser's Edge, or similar constituent relationship management software, preferred.
PRINCIPAL DUTIES AND RESPONSIBILITIES
40% Administrative Support and Coordination
- Maintains donor and prospect information for Global in Raiser’s Edge, documenting correspondence with donors, meeting notes, proposals, contact information, and other background.
- Coordinates Global’s fundraising solicitations with other programs at Brookings; updates and tracks Global revenue projections, outstanding receivables, and pledges; creates new queries and reports based on Global’s needs.
- Attends monthly Raiser’s Edge meetings and keeps up to date on Raiser’s Edge use.
- Working with Global’s development and finance teams, supports the tracking and submission of grant deliverables, narrative and financial reports, no-cost extension requests, contract amendments, etc.
- Ensures that the development team and scholars are aware of upcoming deliverables; sends reminders as needed to junior and senior project staff on time-sensitive information and reports requirements.
- Coordinates internal review and approval of Global funding proposals; coordinates internal signatures, cover sheets, and other required proposal documents; distributes documents to appropriate personnel, departments, and funders.
- Schedules internal and external meetings; prepares meeting materials, meeting minutes, and tracks follow-up items to ensure timely completion; organizes weekly team meetings, creates the agenda, and tracks own activities for discussion.
- Prepares and assembles mailings; prepares and tracks reimbursement requests for development team; and organizes and files program documents.
- Participates in DEV meetings, representing Global’s development team as needed and reporting to meeting participants on Global events and fundraising activities.
30% Writing and Research Support
- Prepares drafts of donor correspondence, e-mails, thank-you letters, and other documents as needed; proofreads documents and cover sheets as required.
- Supports the Global development team in their preparation of grant reports and proposals, including collection of scholars’ work and other documents, preparing publication lists, and drafting text, as appropriate.
- Coordinates necessary updates from scholars, centers, and communications staff; provides DEV with content for upcoming proposals and reports.
- Assists with stewardship activities for donors, including drafting bi-weekly update e-mails on Global’s activities, organizing regular publication mailings, and identifying and scheduling donor conference call opportunities.
- Prepares background briefings for meetings with prospects and donors.
- Researches prospective donors (individuals, foundations, corporations, government, and other organizations) as identified by development team, scholars, and/or other research; conducts donor history research; assists development team in strategy meetings with scholars; follows-up on and researches donor prospects identified by scholars and director.
30% Event Coordination
- Coordinates donor and prospect meetings, including fielding requests from DEV; deconflicts with Brookings development officers; arranges room reservations and catering; prepares all meeting-related materials.
- Coordinates event logistics and prepares materials for high-level, private events with key donors, including those that may be after regular business hours or off-site.
- Coordinates donor and prospect invitations for upcoming events, including Brookings Council, Board of Trustees, International Advisory Council, and Global program events (public and private); alerts Global and DEV staff of VIP attendees; ensures that Global publications and other materials are provided to DEV and the Executive Office.
- Greets donors at events and meetings, as needed.
