BASIC FUNCTION
Manages the President’s research agenda, press, travel and public event schedule, and acts as primary liaison to the research programs on the President’s activities and participation in Brookings activities. Responsible for providing day-to-day assistance and strategic advice to the President on all matters; directly manages the Executive Office, overseeing all correspondence into and out of the office; acts as Executive Secretary of various institutional committees including producing the agendas and all collateral material for the meetings; working with the Managing Director (MD), and as Secretary of the Board, coordinates all Board activities including Board meetings, trustee relations and correspondence. Works with Chief Operating Officer (COO) and Managing Director to implement All Brookings Priorities and other cross-program activities.
EDUCATION/EXPERIENCE REQUIREMENTS
Bachelor’s degree required; advanced degree in a complementary/related area preferred. Minimum ten years work experience, seven years of which include substantive and relevant managerial experience with increasing responsibility, preferably in the nonprofit sector. Experience with, or knowledge of, policy and research institutions is highly preferred. Successful experience working with colleagues on a range of challenging program and operational issues. Experience working with board of trustees preferred.
KNOWLEDGE REQUIREMENTS
Demonstrated experience as manager of several departments or functions with responsibilities that deal with the organization's mission on a daily basis. Excellent interpersonal and organizational skills with ability to multi-task, prioritize and manage multiple priorities. Strong writing and editing skills. Must have experience working closely with senior staff and executive level colleagues. Must be able to effectively manage and resolve conflicts and exhibit diplomacy with all constituents and represent the changing face of an organization both internally and externally.
PRINCIPAL DUTIES AND RESPONSIBILITIES
35% Executive Office Management
- Oversee the President’s schedule, working with the President’s Executive Assistant.
- Set the strategic direction of the schedule, establishing short term and long term goals.
- Work with the President, his RA and the research programs to coordinate the President’s research.
- Manage President’s correspondence.
- Approve timesheets, budgets and expenditures of the EO and EO staff.
20% Executive Advisor
- Advise the President, Managing Director, and Chief Operating Officer on matters of important to administration and research life at Brookings.
- Assist with the President’s Special Initiative Fund, cross-program priorities, internal communications to the Brookings community, and general administration of Brookings.
- Act as surrogate for the President in certain administrative matters.
- Serves as Executive Office representative for all budget oversight meetings.
- Along with the COO, and in consultation with MD, oversee executive searches for Steering Committee members and others directly reporting to the President.
- As a representative of EO, attend weekly development officer and communications director meetings.
25% Executive Secretariat of Brookings
- Oversee and coordinate all internal leadership meetings-setting agendas, deciding what items need to be addressed by which team, coordinating timing of discussions with each team and leading each group to decision points on all issues.
- Write and/or assemble collateral material and briefing and decision memos.
- Draft and circulate full meeting notes after each meeting, and ensure compliance with SC decisions.
20% Board Management and Donor Relations for the Executive Office
- Act as Secretary of the Board of Trustees.
- Work with the Managing Director and VP, Development to oversee the President’s trustee and donor relations.
- Proof all correspondence and solicitations going out under the President’s name.
- Manage the President’s oral reports to the Trustees, as well as written quarterly updates.
- Liaise with the development office on the President’s and MD’s priorities, including development travel.
- Attend all Trustee meetings and committee meetings, and support the President in his capacity as a Board leader.
- Oversee Trustee manager, along with Managing Director.
