BASIC FUNCTION
The Corporate and Foundation Relations Coordinator supports the Senior Director of Corporate and Foundation Relations and the Corporate and Foundation Relations team in meeting Brookings’s corporate and foundation fundraising goals. The Coordinator helps to organize corporate unrestricted and restricted solicitations, assists with stewardship activities, and is responsible for data entry and information tracking. The Corporate and Foundation Relations Coordinator will also work with several counterparts in similar positions throughout Development and the other Programs.
EDUCATION/EXPERIENCE REQUIREMENTS
Bachelors’ degree required. Minimum of two years of professional and/or related experience required. Excellent database and spreadsheet skills, including the ability to enter and manipulate data. Preferred: interest in public policy, familiarity with fundraising in a non-profit environment, experience planning donor meetings, and strong writing skills with experience writing acknowledgement letters.

Excellent interpersonal, organizational, administrative, and communication skills required. Must be attentive to detail, discreet and dependable. Must be able to exercise good judgment, take initiative, function independently and work in close cooperation with others. Must be able to coordinate a variety of tasks simultaneously in a fast-paced environment, meet deadlines and consistently follow up on details. Must demonstrate professional demeanor and attire, and communicate in a clear and polite manner in person and on the phone. Knowledge of Microsoft Office and the capacity to learn other types of software, including Raiser’s Edge and InDesign. Excellent grammar, spelling, proofreading, and editing skills, and the ability to research information and compile it into a briefing.
PRINCIPAL DUTIES AND RESPONSIBILITIES
30% Administrative Support
- Manages the calendar of the Senior Director of Corporate and Foundation Relations and provides other administrative support, such as handling travel reimbursements and preparing detailed travel itineraries;
- Prepares Senior Director for internal staff meetings and prepares reports on activities;
- Tracks own activities for weekly staff meetings;
- Supports Senior Director of Corporate and Foundation Relations by applying knowledge of and supplying information on donors and prospects;
- Assists with Board of Trustees and International Advisory Council events as needed;
- Organizes weekly Corporate and Foundation Relations meeting and creates the agenda, which is circulated throughout the department.
25% Preparation for Donor Events and Meetings
- Works closely with the Corporate and Foundation Relations team to plan and execute donor meetings by collecting materials and enclosures;
- Assists in planning and executing meeting and event follow-up;
- Working with the Senior Director and Corporate and Foundation Relations Manager, monitors and manages meeting requests to ensure they are appropriate for company giving level;
- Coordinates meeting logistics;
- Assists in coordinating offsite corporate meetings with the President, Vice Presidents, and scholars during their travel, both international and domestic. Works on itineraries and coordination with company contacts;
- Reviews invitation lists and mailing labels, creates event packets, and contributes to the briefing memos and donor profiles for Brookings Council lunches and corporate roundtables;
- Serves as a liaison between Corporate and Foundation Relations and Communications regarding public events; alerts Communications of corporate contacts who plan to attend events and makes certain that they receive reserved seating;
- Works closely with the Corporate and Foundation Relations Manager to draft and execute the Brookings Corporate Council Book of the Month and annual report mailings;
- Manages the drafting, production and mailing of corporate and foundation acknowledgment and payment letters;
- Answers donor inquiries as needed;
- Assists with follow-up from Brookings public events, which can include drafting letters, sending materials and updating records;
- Through general reading, research, and attendance at events, keeps up to date with Brookings research programs and donor interests. Notifies donors of Brookings events and activities.
25 % Data Entry and Information Tracking
- Works with Gift and Database Coordinator and Corporate and Foundation Relations Manager to verify accuracy of mid-month and monthly financial reports by cross-referencing with trackers;
- Contributes to ongoing discussions with Gift Coordinator and Program assistants about improving the database for current use;
- Codes appeal waves according to schedule; documents all appeal letter mailings in database and provides electronic attachment of each proposal for the records;
- Verifies solicitation contacts’ names, titles, addresses and phone numbers, and updates information in database and corporate files;
- Tracks corporate and foundation meetings in the database and updates records as appropriate;
- Maintains and reviews donor files and Raiser’s Edge database; records and checks recent correspondence or meetings to assess corporations’ and foundations’ interests and nature of relationship with the Institution;
- Assists the Corporate and Foundation Relations Manager in planning for and tracking solicitation activity, and tracks and records metrics for the Corporate and Foundation Relations team;
- Working closely with the Corporate and Foundation Relations Manager, generates end-of-the-year analysis of the unrestricted and restricted corporate fundraising and produces reports.
20% Coordination of Corporate Unrestricted and Restricted Solicitations
- Working with the Corporate and Foundation Relations Manager, creates, updates, and coordinates solicitation production schedule for unrestricted corporate campaign, including creating and updating appeal letters;
- Works with Corporate and Foundation Relations Manager and Director of Donor Relations and Special Projects to draft foundation proposal cover letters and collect appropriate attachments and proposal appendices;
- Works with Corporate and Foundation Relations Manager and Director of Donor Relations and Special Projects to draft corporate gift acknowledgement letters;
- Reviews donor files, checking all recent correspondence, meetings, and Brookings participation;
- Assists Corporate and Foundation Relations Manager and Director of Donor Relations and Special Projects in drafting and finalizing solicitations to foundations;
- Produces and mails solicitation letters and enclosures, paying close attention to accuracy, quality and timing;
- Works closely with the Corporate and Foundation Relations Manager to send chase letters, pledge reminders and invoices to donors;
- Follows up on solicitation letters by phone and e-mail to set-up cultivation meetings.
