Basic Function

Provides assistance to senior staff of the Engelberg Center for Health Care Reform (ECHCR). Responsibilities include scheduling of internal and external meetings, management of busy calendars and travel schedules, office management, and light research.

Education/Experience Requirements

College degree required. Minimum of two years required of administrative experience in an office with varied responsibilities and a fast work pace. A background or demonstrated interest in health policy or health care required.

Knowledge Requirements

Knowledge of Microsoft Office; extensive Internet searching skills; capacity to learn other types of software programs; initiative, discretion, poise, mature judgment; organizational skills to manage office independently; conference planning experience a plus.

Principal Duties and Responsibilities

60% Event Scheduling and Coordination:

  • Schedules, coordinates, and tracks attendance and other details for regular external and internal meetings and conference calls with multiple high-level participants.
  • Anticipates senior staff needs and provides information regarding meeting requirements.
  • Assists ECHR event coordinators with planning for meetings, conferences, and seminars, including hotel arrangements, catering, and other meeting planning functions.
  • Participates in meetings and conference calls, responsible for taking notes and tracking assignments.
  • Corresponds with meeting participants concerning logistics, event details, and expense reports.
  • Develops and maintains databases of advisory committee members and conference/seminar authors, discussants, invitees, etc. 
  • Completes post-conference responsibilities, including processing travel expense reports, hotel invoices, and submission of papers for publication.

30% Office Management:

  • Composes, types, and edits letters, memoranda, and other items for approval by senior staff; types forms and distributes internal documents and memos.
  • Develops and maintains mailing lists for distribution of materials.
  • Organizes and maintains ECHCR files, both written and electronic.
  • Maintains office supplies.
  • Sorts and prioritizes mail and other incoming materials; receives and disseminates information related to projects.
  • Receives staff and visitors to the ECHCR offices.
  • Works with ES Website Coordinator to ensure online publication of ECHCR materials, including bios and research papers.
  • Schedules appointments and makes travel arrangements, prepares itineraries, arranges for reimbursement, and maintains records of travel expenses and billings.
  • Manages sensitive information and materials with discretion.

10% Light Research

  • Locates research materials via the Internet or through library searches.
  • Compiles, reads, abstracts, and organizes written material into bibliographic form. 
  • Obtains documents from various government and private agencies.
  • Assists scholars and senior staff with proofreading and editing of written products.
